Privacy policy

This page explains what Aeris Education collects about students and families, why, where it’s kept, who can see it, and how to ask us to change or delete it.

Who we are

Aeris Education runs live online HSC classes for Year 11 and 12 students. It is run by its two founders, Aryan Ryan and Jinan Waseef. ABN [PLACEHOLDER: ABN].

What we collect

The free trial form. The parent’s name, email address and phone number; the student’s name, year and email address (unless the family tells us they don’t have one); the subjects and week they’d like; and how they heard about us. The form also has two optional boxes to hear about the UCAT and medical interview courses coming in 2027. If one is ticked, we keep the parent’s contact details, the student’s name and year, and which box was ticked.

Student and parent accounts. Names and email addresses, the classes a student is in, and their attendance. The work a student hands in (photos or PDFs of their booklets and homework), the tutor’s marks and feedback, the student’s own Error Log and notes about their mistakes, their revision plans, their question-bank practice, and any school assessment notice they upload. Where the browser can, a photo is saved without its location and camera details before it is uploaded.

Fees. Invoices and the bank transfers parents tell us they’ve made. We don’t hold any family’s card or bank account details.

Sessions at schools and online events. We don’t collect students’ names or contact details at school sessions. [CONFIRM] If you register for one of our free online events, the registration page asks for a name and email address so we can send the link and a reminder, and we use them for nothing else. [CONFIRM: registration provider, e.g. Humanitix, and its privacy policy link]

When you contact us. Your emails, calls and texts, and anything you tell us in them.

Why we collect it

  • To arrange a trial week, place a student in a class, and run their classes.
  • To mark homework, look through Practical booklets, and keep each student's record of their work.
  • To send account emails, the trial report, end-of-block reports and invoices.
  • To answer your questions.

We don’t sell your information, and we don’t use it for advertising.

Where it's stored

Aeris is built on Base44, an app platform. Your information and any files you upload are stored with Base44, on servers in the United States, so they are held outside Australia. [CONFIRM with Base44: storage location] Our emails are delivered through Base44’s email provider.

Some tools in the platform can send pages a student hands in, or a school assessment notice they upload, to a language model service through Base44, to help a tutor draft marking or read an exam’s details. Marking drafts use models run by OpenAI and Anthropic. [CONFIRM with Base44: which provider reads assessment notices] A tutor checks each marking suggestion before it counts, and the model’s own wording is never shown to a student or parent. The trial report is written from the tutor’s own marks. [CONFIRM: which of these tools are switched on for real students’ work]

Who can see it

  • Aeris tutors, who are currently the two founders.
  • A student sees their own work, marks, feedback, Error Log and revision plans. These are private to the student and Aeris tutors.
  • A parent has read-only access to their own family's class times, fees and end-of-block reports. Parents don't see their child's handed-in work, marks or Error Log. The one exception is the trial week: its report, with the tutor's marks, is emailed to the parent and to the student.
  • Base44, which stores and processes the information for us as our platform provider.

We don’t share your information with anyone else unless the law requires it.

Messages, opting out and unsubscribing

We email and text about trials, classes, accounts and invoices. We don’t send a marketing newsletter. [CONFIRM]

To stop any message from us that isn’t needed for an account you have, reply “stop” or email us, and we’ll stop. If you asked about a trial or a 2027 course and want us to forget it, tell us and we’ll delete the enquiry.

Seeing, correcting or deleting your information

Email us to see what we hold about you or your child, to correct it, or to ask us to delete it. We’ll reply within [PLACEHOLDER: e.g. 30 days]. A founder deletes records by hand. Nothing is deleted on a timer yet, and we haven’t set how long each kind of record is kept. [PLACEHOLDER: retention periods] We may need to keep invoices and payment records for tax purposes.
